Data and Surveys

Data and Survey Requests for research are reviewed and considered by the AUPO Data Resource Committee (DRC) three times per year. For consideration, a current AUPO member must complete a Use of Data Request Form. To access the form, please log into the member side of this website, then go to the Member Services section. Fees may apply for approved requests.

Policy

AUPO member and ophthalmology match data is confidential and is the property of AUPO. Requests for use or collection of AUPO data must be submitted for review and approval by AUPO’s Data Resource Committee. Requests will be screened against defined criteria for research use. Approved requests will require signing a Memo of Understanding (MOU) confirming the conditions for use before any data will be released or used in any format. Fees to extract data and prepare reports may be applicable.

Guidelines for proposals

  • The intent of the study must be to improve educational and training outcomes in ophthalmology
  • The study must have minimal potential for harm for any individual or group
  • Studies requesting identifiable information must include informed consent for this use
  • All studies must include IRB approval or exemption documentation
  • The investigators must intend to present their findings at a national meeting or in publication (i.e. with intent to inform the broader community of research findings)
  • The investigators must agree to have their work reviewed by AUPO before submission or presentation to ensure compliance with policy
  • The investigators must agree to bear costs of data collection, if any.

Review Process and Timeline

As of January 2025, submissions are accepted during three (3) periods:

  • January 6 – March 31
  • April 1 – June 30
  • July 1 – October 31

Once your project has been reviewed and approved by the DRC, SF Match will provide a final cost for data extraction and delivery. Based on prior projects, typical fees for our services range as follows:

  • Feasibility Assessment & Time Estimate: $100/hour (typically 2-10 hours)
  • Data Preparation & Delivery: $300/hour (scope-dependent) If we have to engage developers, we will let you know.
  • DRC Review & Project Tracking: No charge

The affiliated residency or fellowship program will be invoiced should the study move forward. These estimates account for the staff time and secure handling necessary to delivery accurate, de-identified data. The final invoice will reflect the approved project scope and any additional processing that may be required.
